The Applications Manager is a new feature which gives Channel Managers and Specific Language Moderators the ability to filter and review Subtitler applications for their channels that were submitted through Project Finder.
To access the Applications Manager

- Go to: https://contribute.viki.com/dashboard
- Click on the Project Finder option.
- The Applications Manager button will appear on the top right corner:
Note: This option will only appear if you are the Channel Manager and/or Specific Language Moderator of one(1) or more channels. - From here, you will be able to see all of the channels that you are a Channel Manager and/or Specific Language Moderator for.

- Once you have accessed Applications Manager, click on the “Manage” button to see the applications for the channel that you would like to manage.
- Here you are able to view all the Subtitler applications that were sent for each channel through Project Finder.

Channel Managers are only able to view Subtitler applications for languages without a moderator:
Note:
- Channel Managers have the option to filter out applications by specific language.
- If applicants apply for a language that does not have a Moderator for that language, once a Moderator is selected, the assigned Moderator will be able to view all applications submited prior to and after they were assigned as a Moderator for their language.

Language Moderators for specific languages will only view the incoming applications for the language(s) they are moderating:

Channel Managers are only able to view Subtitler applications for languages without a moderator:
- Once you have accessed Applications Manager, click on the “Manage” button to see the applications for the channel that you would like to manage.
Please note: the incoming applications do not update in real-time. A banner will appear at the bottom of the page once a new application is incoming. Please refresh the page to view new incoming applications.
To view specific applications, follow the steps below:

- Access the channel that you would like to manage applications for.
- Click on “View”, located on the lower right-hand corner of each application.
Here you will be able to:

- View the applicant’s Viki Profile
- View their application information
- Contact the applicant before making any final decisions
- Accept or reject their application

When viewing an application, you are able to contact the applicant before making any final decisions on their application.
How to contact applicants:

- When viewing the application, click on “Contact”, located on the lower left-hand corner of the application pop-up.
- A message box will then appear.
- Click on the text-box, to write your message to the applicant.
- Click on “Send”, located on the lower right-hand corner, once your message is ready to be sent out.
- A confirmation message will then appear.
- Click on “Review other applications” to continue viewing applications
- Click on “View Conversation” to go to your Viki inbox.
- The application will then indicate that the applicant has been contacted.
- When viewing the application, click on “Contact”, located on the lower left-hand corner of the application pop-up.
Accepting and Rejecting Applications
After reviewing an application, you have the option to “Accept” or “Reject” an application

- Click “Accept”, located on the lower right-hand corner of the application
- You will then be directed to an editable text-box
- From here you will then have the option to:
- Send the pre-composed message
- Create/write your own unique acceptance message.
- Click on “Send”, located on the lower right-hand corner
- A confirmation message will then appear.
- Click on “Review other applications” to continue viewing applications.
- Click on “View Conversation” to go to your Viki inbox.
- Click “Accept”, located on the lower right-hand corner of the application
What to expect when accepting an application

- The applicant will be automatically added to the team.
- The applicant will be notified that their application has been accepted.
- A two-way inbox conversation will be created between Recruiter and Applicant.
- The application will be labeled as “Accepted”
Rejecting Applications

- Click “Reject”, located on the lower center-right-hand corner of the application
- You will then be directed to an editable text-box
- From here you will:
- First: Select one of the four (4) options.
- Then: Create/write your own unique rejection message.
- Click on “Send”, located on the lower right-hand corner
- A confirmation message will then appear.
- Click “Reject”, located on the lower center-right-hand corner of the application
What to expect when rejecting an application

- The applicant will be notified that their application has been rejected.
- Note: A conversation will not be started. However, the applicant will be given the choice to contact the recruiter.
- The application will be labeled as “Rejected”
- The applicant will be notified that their application has been rejected.
When looking into the applicants who have applied for each channel you can filter out their applications. The Filter options are located on the left-hand side of the applications that have been submitted for the channel you are managing.
To apply the filters:

- Select the filter options you would like to apply.
- Please remember to click on the “Apply filters” button.
Note: The results will not be updated/filtered accordingly until you click on the "Apply filter" button.

Filters explained
Application status:
-
- Pending
- All applications that are submitted and/or not yet reviewed will be considered to be “Pending”.
- Accepted
- Applications that have already been accepted will load when this filter is selected.
- Rejected
- Applications that have already been rejected will load when this filter is selected.
- Pending
Language:
-
- Channel Managers are able to view and sort out Subtitler applications that are submitted, for the languages that do not currently have a Language Moderator. Channel Managers and Specific Language Moderators of two (2) or more languages in the team have the option to filter out applications by specific language.
Channel Access:
-
- No Viki Pass/QC Benefits
- Select this filter if the applicant does not need QC benefits and/or Viki Pass access to contribute to this channel.
- Standard access
- Select this filter if the applicant needs QC Benefits (Standard) and/or Viki Pass Standard access to contribute to this channel.
- Plus access
- Select this filter if the applicant needs QC Benefits (Plus) and/or Viki Pass Plus access to contribute to this channel.
- No Viki Pass/QC Benefits
Example: If the channel that you are recruiting for is under Standard Viki Pass, by deselecting the “No Viki Pass/QC Benefits”, you will be able to filter out the applications of those that do not have Viki Pass Standard (or Higher).
Team recruitment status:

- All status
- All applications will be shown
- Open for Recruitment
- Channel team(s) that have not been Hidden
- Not recruiting
- Channel team(s) that has been Hidden
- All status
Example: You are recruiting for a channel that you are the Language Moderator for, you go to Applications Manager, and believe that you have enough applicants to choose from, hence you decide to hide your team. You come back to Applications Manager, and all the applications appear to have disappeared! 😱
Do not worry! To view all the applications that have come in, simply adjust the “Team recruitment status” filter from “Open for Recruitment” to “Not recruiting”. Since your team is no longer recruiting, all the applications that had come in, will now be under the “Not recruiting” filter.
Once you believe that your team is now full and/or you are no longer accepting applications. We advise you to please hide your team.

- To hide your team you can click on the “Hide a Team” button.
- You will then be directed to the "Team Settings" tab for that channel.
Notes:- Please feel free to take a look at our “How do I hide/un-hide my language team from Project Finder?” article for more information.
- If you have already hidden your team previously there is no need to hide your team again. All channels, including those that you have already hidden, will continue to appear on your Applications Manager.
- You will then be directed to the "Team Settings" tab for that channel.
- To hide your team you can click on the “Hide a Team” button.
Applications Manager has a couple of different features for recruiters to know that they have Pending Applications. These are the different ways to know a channel has new applications:
Email notifications
Recruiters have the option to opt in to receive an email notification when a new application arrives on the channel(s) they are recruiting for.
To receive these email notifications, please be sure to turn your notification settings on, as shown below:

- Access “Applications Manager”
- Click on “Settings”, located under the Applications Manager subtext.
- Slide the Email notification button “on”:
Pending Applications visual indicator
Channels with Pending applications let recruiters know the number of pending applications each channel has without the need of entering each channel individually.
Notes:

- Channels are sorted by recency on when the recruiter is added to the team.
- Count of Pending Applications shown on channels are summation of pending applications across the user's languages
- Example: In Boys Over Flower I'm an ES & PT lang mod, ES has 22 pending applications and PT has 12 pending applications. Applications Manager Channel card will show "Pending applications: 34".
Refresh Banner
As recruiters are reviewing applications, a banner will appear at the bottom of the page when that channel has received a new application, based on the filters applied. Please refresh the page to view new incoming applications.
FAQs
A: Only Channel Managers and Specific Language Moderators can access Applications Manager
A: No, only Subtitler applications will go towards Applications Manager.
A: All channels that you’re either a Channel Manager or a Specific Language Moderator of, will be shown in Applications Manager.
A: Channels are shown in order of most recent to least recent, based on the date that you were added to the channel as a Channel Manager or Specific Language Moderator.
